Refunds and Cancellations

Effective Date: November 21, 2025

This Refund & Cancellation Policy (“Policy”) describes how refunds, cancellations, credits, and rescheduling are handled for programs, courses, coaching, and other offerings provided by Mindful Learning and Development (“MLD,” “we,” “us,” or “our”). This Policy should be read together with our Terms and Conditions.
We aim to handle all refund and cancellation matters reasonably and in good faith, balancing participant needs with the time, preparation, and costs involved in delivering our Services.
1. General Approach
We design our programs with limited seats, facilitator preparation, and venue or platform commitments in mind. Because of this, many purchases are not fully refundable close to the start date. At the same time, we understand that life happens.
As a general principle:
• We will review requests individually and act in good faith.
• Where full refunds are not possible, we will often explore alternatives such as partial refunds, program credits, or transfers to another cohort, where feasible.
• If this Policy conflicts with a specific written agreement you have signed with us (e.g., an organizational contract or statement of work), the written agreement will control.
2. Digital Products and On-Demand Courses
This section covers self-paced online courses, digital downloads, recorded trainings, templates, and similar products (“Digital Products”).
• Standard Policy: Once access has been granted or files have been delivered, all sales of Digital Products are generally final and non-refundable.
• Technical Issues: If you experience technical issues accessing a Digital Product, we will work with you to troubleshoot and restore access (e.g., resetting login credentials or re-sending links).
• Good Faith Exceptions: In limited situations (for example, duplicate purchases or demonstrable accidental purchases), we may, at our sole discretion, offer a partial or full refund, or a credit toward another MLD offering.
3. Live Online Programs and Group Courses
This section covers live online cohorts, group classes, or scheduled virtual programs (e.g., mPEAK-based programs, leadership cohorts, group coaching) (“Live Online Programs”).
3.1 Registration and Payment
Your spot is confirmed once payment is received in full or as outlined in your enrollment terms (e.g., payment plan). Group size is often limited; your enrollment may prevent someone else from enrolling.
3.2 Participant-Initiated Cancellations – Standard Timeframes
Unless otherwise stated in your registration materials or agreement:
• More than 30 days before the program start date: You may request a full refund or a full credit toward a future program of similar value.
• 14 to 30 days before the program start date: You may request a 50–75% refund (we will confirm the exact amount based on program costs already committed) or a credit toward a future program.
• Less than 14 days before the program start date or after the program has begun: Refunds are not guaranteed. In most cases, we will offer a credit or transfer to a future cohort where feasible, rather than a cash refund.
All cancellation requests must be submitted in writing to Connect@MindfulLD.com.
3.3 Flexible / Good Faith Considerations
We recognize that emergencies and unforeseen circumstances arise (for example, serious illness, family emergencies, or significant work obligations). In such situations, we may, in our sole discretion:
• Offer a larger refund than the standard schedule.
• Provide full or partial credit for a future program.
• Allow transfer of your spot to another qualified participant.
3.4 No-Shows and Partial Attendance
If you do not attend the program or miss sessions without notice, you are generally still responsible for full payment. Where available, we may provide recordings or materials for missed sessions, but this is not guaranteed and may vary by program.
4. In-Person Workshops, Retreats, and Events
This section covers in-person retreats, offsites, workshops, and similar events (“In-Person Events”).
4.1 Deposits
Deposits for In-Person Events are typically non-refundable as they help us secure venues, lodging, and other commitments. In some cases, deposits may be transferred to another participant or to a future event, at our discretion.
4.2 Participant-Initiated Cancellations – Standard Timeframes
Unless otherwise stated in your event registration or contract:
• More than 60 days before the event start date: You may receive a refund of amounts paid minus the non-refundable deposit and any unrecoverable costs already incurred on your behalf (e.g., lodging, catering).
• 30 to 60 days before the event start date: You may receive a 50% refund of the total fee, minus the non-refundable deposit and unrecoverable costs, or a credit towards a future event.
• Less than 30 days before the event start date: Due to venue and logistical commitments, refunds are generally not available. We may, where feasible, allow you to transfer your registration to another qualified participant with our prior approval.
4.3 Event Cancellations or Changes by MLD
We may cancel, reschedule, or significantly modify an event due to insufficient enrollment, facilitator illness or unavailability, force majeure events (see Section 8), safety concerns, or other circumstances beyond our reasonable control. If we cancel an event without offering a rescheduled date, you will generally be offered a full refund of amounts paid for that event or a credit towards another program or event (per your choice, unless otherwise noted). If an event is rescheduled, we will transfer your registration to the new date. If you cannot attend the rescheduled date, we will work with you in good faith to explore a reasonable solution (refund, credit, or transfer), subject to venue and cost constraints.
5. 1:1 Coaching and Consulting Services
This section covers individual coaching, mentoring, and consulting engagements (“Coaching Services”).
5.1 Packages and Unused Sessions
Coaching packages (e.g., multi-session bundles) are planned around your goals and schedule. Once the engagement has begun, full refunds are generally not available, but we may, in our discretion, offer a prorated refund for unused sessions or convert unused sessions into credit for future Services, especially when there are reasonable, documented reasons to end the engagement.
5.2 Session Rescheduling
Unless otherwise specified in your coaching agreement:
• You may reschedule a session at least 24–48 hours before the scheduled time without penalty.
• Sessions canceled or rescheduled less than 24–48 hours before the scheduled time may be treated as a used session, at our discretion. We will make reasonable efforts to accommodate rescheduling requests in good faith.
5.3 No-Shows
If you do not show up for a scheduled session without notice, the session is generally considered used, and no refund or reschedule will be provided.
6. Organizational / Corporate Contracts
For Services provided under a separate written agreement (e.g., with companies, agencies, or teams), the terms of that contract (SOW, MSA, or similar) will govern refunds, cancellations, and rescheduling. If this Policy conflicts with such an agreement, the agreement controls.
7. How to Request a Refund, Credit, or Cancellation
To request a refund, credit, cancellation, or rescheduling, please contact us in writing at Connect@MindfulLD.com with the subject line “Refund / Credit Request – [Program Name / Order Number].” Include your full name, program, service, or product name, purchase date and amount, relevant dates (program start, event date, session date), and a brief explanation of your situation and request.
We will review your request in light of this Policy and any applicable agreements and respond within a reasonable timeframe. Where appropriate, we may ask for additional information to fully understand your situation. If a refund is approved, it will be processed using the original payment method, unless otherwise arranged, and may take several business days to appear on your statement, depending on your bank or payment provider.
8. Force Majeure
We are not responsible for any failure to perform, or delay in performance, of any of our obligations that is caused by events outside our reasonable control (“Force Majeure Events”), including but not limited to natural disasters, pandemics or public health emergencies, government restrictions or regulations, labor disputes or strikes, power outages, internet disruptions, technology failures, or other events beyond our reasonable control. In such cases, we may modify, reschedule, transition offerings (e.g., move an in-person event online), or provide credits. If a program is materially affected by a Force Majeure Event, we will work with participants in good faith to provide reasonable alternatives, but cash refunds may be limited.
9. Chargebacks and Disputes
We aim to resolve concerns directly and professionally. If you have an issue with a payment or Service, please contact us at Connect@MindfulLD.com before initiating a chargeback. Unwarranted or fraudulent chargebacks may result in suspension of access to our Services and may be pursued as a breach of contract.
10. Changes to This Policy
We may update this Refund & Cancellation Policy from time to time. When we do, we will update the Effective Date at the top and may provide additional notice where required. Your continued use of the Site and Services after any changes means you accept the updated Policy.
